Studio88,

I am glad you mentioned the musicteachershelper thing. Although I don't use it personally (I'm an excel and outlook express person) I like that they can pay you online. Is that correct? Do you have any parents pay you through online?

I make bills each month, my husband wrote a computer program in access so I can keep track of all the students' times, numbers, payments and such. I do have to go through and change the info each month then hand out the bills. Takes about 10 minutes total for me. I put the bills in the students' folder.. If no payment is received by the second lesson a late fee is added- most of the time the student forgets to hand mom the bill, so I'll then HAND it to them and they'll take it to mom who is usually in the car.. I get my payments back pretty quick that way. Late fees tend to occur more in February-April as parents seem to start relaxing more, or perhaps they are busy paying for Christmas.

OK - so maybe I'm cheap. I tried the musicteachershelper.com but I just rebel at the thought of paying someone $20-25 per month to do my bookkeeping. I don't make that much money that I want to spend it this way. I've used Quickbooks Pro for about 3 years and it works well for me, plus the invoices it generates are more professional looking than any I could design. A couple letters typed in and the family name appears, same with charges, about 2 clicks of the mouse and the invoice is printed. OR, what I have done for the past 2 years is email all the invoices. Took about 10 minutes a month.

I'm going back to using TimeSig 2005 this fall - same idea as QuickBooks. If I kept Quickbooks 2005 I would not have free emailing anymore, so that's the main reason I'm changing programs. (Quickbooks comes out with a new version every 3-5 years and if you keep the old version, you lose some of the functions.) With TimeSIg 2005 you do your billing for the whole year when you set up fall students, then select the proper dates each month, and in less than 5 minutes you have them emailed or printed. TimeSig 2005 cost me $65 since I was upgrading from TimeSIg 2000. Mary Lou Iverson helps you by phone or email almost instantly. Some people don't like to do the long set-up in the fall, but I would rather do it then and have more free time during the teaching months. It has been criticized as not "intuitive" but they give you very complete directions and you'll be fine if you follow the directions to the letter. The relief that using the program brings me is worth the time I spent learning how the program functions. The beauty of time sig is that I can make quick notes on each student's progress at the end of the lesson and also use it to record business expenses. Here's a link if you're interested TimeSig 2005

These sound great, yet I do it a relatively old-fashioned way: I have a file set up in excel that I print each month, where I simply write in the date, check number and amount received. Once I've collected for the month, I enter them all into the same Money program I use for my checkbook. It only takes a few minutes. I use two versions of Oops notices: One that says it's due this week (and didn't come in with the student) and another that says it's past due. (Those are very rarely needed, thankfully!)

I'd also be interested in hearing Susan's story! I think repeated Oops and a request for the late fee did cost me one student, but it was almost worth it. The constant late payments (always minus the late fee) went along with the lack of practice, etc.

Nobody has paid me online yet, but yes you can sign up for that. You just need a paypal account (which is free!) I do have one family that said they are interested in paying online starting this fall. I'll let you know how that goes.

Q88 - I completely understand about not wanting to pay someone to do your bookkeeping for you! It took me a while to sign up for this. The way I see it is that it's less than $1 a student. Plus, I felt like I was wasting so much paper having to print out invoices all the time. For now, this works well for me. My hubby is a computer programmer and thinks he can write a program for me that would do the same thing. He just hasn't had any time to do it.

I like with musicteachershelper that the families can log in to see their transaction log - make sure they paid, know their balance, etc. I also keep track of everything in Quicken (just in case I ever decide to stop using musicteachershelper - then everything is up to date already and I don't have to spend hours reentering everything in.)

I just had to quote your last bit there, because I can't help giggling at the thought of having a Computer Program for a husband..(I know you meant computer programmer)

As for my own bookkeeping I use excel spreadsheets. I do my checkbook, teaching expenses, attendance, and payments all together there so I can just flip back and forth from one spreadsheet to the next. If I did need to print up an invoice I would just do it by hand. I think my families ignore anything typed out and notice more if I write them by hand. smile
